ROLE OVERVIEW
The HR Coordinator plays a vital support role within Lime Media's People & Talent function. Reporting directly to the Senior Human Resources Manager, this position also provides day-to-day administrative support to the Senior Talent Acquisition Specialist. The HR Coordinator is the operational backbone of the HR team, ensuring our systems are accurate, our processes run smoothly, and our candidates and employees experience a high level of care at every touchpoint.

KEY RESPONSIBILITIES
HR Administration & Operations
- Support the full employee lifecycle, including onboarding coordination, new hire paperwork, role changes, leaves of absence, and offboarding processes.
- Maintain accurate and up-to-date personnel files and HR documentation in accordance with company policy and legal requirements.
- Assist with the preparation and distribution of HR communications, offer letters, and employment verification documents.
- Serve as a first point of contact for general HR inquiries, routing questions appropriately to the Senior HR Manager.
- Support benefits administration tasks including enrollment tracking, employee education, and vendor coordination as directed.
HRIS Data Entry & Systems Management
- Maintain the integrity of employee data within the company's HRIS platform (ExponentHR preferred).
- Process new hire entries, terminations, status changes, and pay updates with accuracy and timeliness.
- Generate standard HR reports and assist in preparing data for audits, compliance reviews, and leadership dashboards.
- Flag data discrepancies and support ongoing system clean-up and optimization efforts.
Talent Acquisition Support
- Provide scheduling support for phone screens, interviews, and debrief sessions across active searches.
- Maintain ATS data integrity, updating candidate stages, dispositions, and notes in a timely manner.
- Assist with candidate communications including interview confirmations, status updates, and follow-up correspondence.
- Support job posting logistics across internal and external platforms as directed by the Senior TA Specialist.
- Help coordinate onboarding handoffs from recruiting to HR once candidates accept offers.
Compliance & Reporting
- Assist in tracking and maintaining compliance-related documentation including I-9s, background checks, and required training completions.
- Support HR audit preparation by organizing and pulling documentation as needed.
- Help monitor and update the HR team's reporting trackers including headcount, open roles, and onboarding status.
- Stay current on basic federal and state employment law requirements as they pertain to day-to-day HR administration.
General
- Consistently demonstrate Lime Media's core values of Love, Accountability, and Evolution in all interactions and work products.
- Serve as the designated backup to the Lime Ambassador (Office Manager) and Facilities Technician, providing front-office coverage, facilities upkeep, and administrative continuity as needed.
- Perform other duties as assigned by the Senior HR Manager or Senior TA Specialist.
QUALIFICATIONS & EXPERIENCE
Required
- 0–2 years of experience in an HR, recruiting, or administrative support role.
- Exceptional attention to detail and strong organizational skills.
- Excellent written and verbal communication skills.
- Proficiency with Google Office Suite.
- Ability to handle confidential information with integrity and discretion.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Preferred
- Bilingual in English and Spanish (verbal and written).
- Experience with ExponentHR or a comparable HRIS platform.
- Familiarity with an Applicant Tracking System (ATS).
- Associate's or Bachelor's degree in Human Resources, Business Administration, Communications, or a related field.
- HR certification or coursework (PHR, SHRM-CP, or pursuit thereof).
